ASK AI: Corporate knowledge management made easy

One of the globe’s leading producers of spirits approached ALTEN’s SDG Group for help in enhancing corporate management. In response, they created a multipurpose chatbot that leverages generative AI to enable employees to interact with company documentation through natural language queries.
The SDG Group is a management consulting firm specialized in business analytics, corporate performance management, and advanced business solutions. As part of the ALTEN universe, they apply a wealth of experience in advanced analytics to help their clients tackle business challenges through innovation. A recent project involved implementing a multipurpose chatbot, ASK AI, to assist in corporate management. The chatbot allows users perform real-time internet searches and generate summaries and even assists in text improvement.

A bot that does it all
SDG Group responded to its client’s request with a multipurpose solution: ASK AI, a chatbot that uses generative AI to process and respond to natural language queries. ASK AI’s conversational interface provides an enhanced user experience. Employees can utilize the tool to effortlessly access and query company documents, saving time, increasing productivity and enhancing overall efficacy. Quick and accurate information retrieval from a large database of internal documents, as well as seamless integration with Microsoft Teams, ensure widespread adoption and ease of use. The solution is also extremely adaptable, with the flexibility to add functionalities and data sources based on user feedback and evolving business requirements. This ensures its long-term adaptability.
The technology behind the bot
ASK AI integrates Microsoft Azure services; its conversational interface was built with Power Virtual Agents and integrated with Microsoft Teams for seamless, conversational user access. Power Automate workflows and action triggers streamline the user query and response process. Retrieval augmented generation (RAG), utilizing Azure Databricks to manage data ingestion and embed calculations, enhances the retrieval of relevant documents. Cognitive Search supports document retrieval and context-aware responses. The chatbot also leverages the large language model capabilities of Azure OpenAI for natural language processing, providing context-aware responses based on the ingested data.
Good preparation for best results
The developers of the project recognized the need for close and continuing interaction with the client to achieve the best results. For example, prompt engineering is a fundamental part of the project and before developing the prompts, they worked with the client to agree on the principal topics to which users would expect the chatbot to respond, as well as the expected results. These consultations made it possible to conduct automatic tests to ensure the best results. Lastly, as with any AI query, the answer is only as good as the question: to ensure best results, the developers stressed the importance of carefully formatting and validating the inputs from the user, including maximum query length.
